Abstract submission

Can anybody have an oral presentation?

The number of abstracts submitted exceeds the number of slots for oral presentations. As such, an expert panel will select a limited number of abstracts for an oral presentation. Abstract we have to decline will often be accepted for a poster session.

Payment

Do you offer student grants?

No, we do not offer student grants. However, to support students, we do offer reduced entrance fees. When you register as a student, the reduced fees will automatically be applied.

How can I deregister?

Login to your Event Brite account. Please note refunds are no longer possible after a certain amount of time has passed, as stated in our terms and conditions.

Is it possible to pay by bank transfer or invoice?

Yes, it is possible to pay by bank transfer or invoice. However, if possible by any means, please use creditcard or Paypal. This is for the both of us by far the easiest option. If these options will not work for you, the only alternative payment method the hosting university offers, is to send you an invoice. This will go in a few steps:

  1. Please inform us of your registration options. For each registrant, provide the information as required by the form on the website: Full contact details, academic / student / company, conference dinner (partner also attending?) and social event. Send this information to
  2. Please inform us on any payment details of the organisation paying the registration: VAT number, Chamber of Commerce registration number – if possible, full contact details on the contact person (Dutch or English speaking – please), budget codes or reference numbers within your organisation, and procedure on how to submit the invoice to your organisation (e.g. our university only accepts pdf send to a specific e-mail address). PLEASE DO CHECK your details thoroughly, as missing information can delay the process.

  3. We will send you an invoice. The invoice will be send by e-mail to the e-mail address of the contact person you provided above. Please process the invoice at your earliest convenience.
  4. Please do inform us once the payment has been made, including details required to track it. We will then contact our administration to anticipate the arrival of the payment in order to be able to process your registration with due haste.
  5. After we have received the payment – and only then -, we will the participants be registered to the conference. We will confirm the registration(s) over the e-mail to the contact person on the invoice.

What is included in the ticket?

The ticket includes the entrance fee, welcome reception, small breakfast (coffee with juice/smoothie and/or sweet bakery), coffee/tea incl. sweet bakery, lunches, drinks and snacks in afternoon/at poster sessions, and (optionally) a canal tour by boat. Billable extras include a social event and a conference dinner. Excluded are e.g. travel fare, hotels, breakfast and dinner. However, several hotels do offer our participants reduced tariffs. Please check the accomodation page for details.

Posters

What are the guidelines on the posters?

The panels we use to display the posters are A0 portrait size, rest is up to you!

Registration

Do you offer student grants?

Do you provide VISA letters?

We can provide visa letters to registered participants only. To obtain a visa letter meeting your needs, please send us an exhaustive list of the requirements. If you want to speed up the processing of your visa letter, please consider providing us with a draft text for the letter.

Something went wrong with my payment. What can I do?

Occasionally, a payment does not go down well for some reason. Usually you should be able to restart or continue your registration where you left. If this does not work, please check the Event Brite website for more details on registration and payment.

If all else fails, please contact the conference organisation. Please include details on what you have tried so far.

Who counts as a student?

Registration fees depend on the position you hold. Bachelor students, master students, and PhDs can register as students. Post-docs and anybody working at a public research institute or university counts as members of the academic staff. Anybody else counts as a company representative. Note that only registration fees differ, whereas the cost of social events and conference dinner are equal to all participants.
